Provider’s Dashboard

Overview

Novari ATC features an interactive dashboard intended to streamline the wait list management process. The Provider’s Office Dashboard serves as the primary starting point for day-to-day management of the wait list.  

The Dashboard is comprised of four components:

  • Find a Patient

  • Task List

  • Block Utilization

  • Wait List Overview

Managing the Dashboard Components

You can choose to expand or minimize a component, show or hide the component explanation, and expand or minimize task item subtitles.  

The preferred settings for hiding/showing extra information will be saved to your local computer and remain in effect the next time the Dashboard is opened from there. However, if Novari ATC is accessed from a different computer, these saved preferred settings will not be applied.

Below is an expanded view of the Task List component.  

  1. This control toggles between Detail View and Simple View. Detail View displays the subtitles of the items in the task list. Simple View hides the subtitles. An example of a subtitle has been highlighted with the number 1.

  2. This control toggles between showing and hiding the contents of the component. If it is toggled to Hide Contents, you will only see the description of the component (for example Task List) with no items listed below it.

  3. This control refreshes the component. You will be unable to interact with this specific component while it is refreshing the values contained within.

  4. This control displays an explanation of the component. An example of this description has been highlighted with the number 4.  

Patient Search Component

The standard patient search utility is available in the Dashboard.  

You can search by:

  • MRN (or another patient identifier)

  • Health Card Number (HCN) or as the facility identifies it

  • Name

  • Phone Number

Search results will be displayed on the Dashboard. Select one of the patients to navigate to the patient’s Case Details.

Task List Component

The Task List component aggregates the most pressing tasks into a centralized list. Only tasks with something to deal with are displayed. Selecting a task navigates to its task list.  

The tasks which may appear on this list are:

Task

Description

ER Cases

Patients on the wait list who recently presented in the ER.

Case Cancellations

Patients on the wait list who have been cancelled by the hospital and may need to be rescheduled.

Day of Surgery Cancellations

Patients on the wait list who have experienced a day of surgery cancellation and may need to be rescheduled

Deceased Patients

Patients on the wait list in which the system has detected a death in the hospital information system.

Wait 2 Audit

Long waiting cases on the wait list that require attention.

Case Completion

Cases completed and removed from the wait list that need to be cleared.

New Case Inbox

Inbox cases to be reviewed and added to the wait list. This is only available if your site has been configured to use the New Case Inbox functionality

Uncleared RFU Activation

Cases being followed for repeat / follow up care that need to be reviewed and processed.

Uncleared RFU Completion

Repeat follow up cases on the wait list which have completed an episode of care and need to be reviewed.

Short Notice Patients

Patients on the wait list who have agreed to be contacted in the event of a last-minute scheduling availability.

Transfer Cases

Transfer cases pending acceptance, or transfer requests that have been rejected.

Block Utilization Component

The Block Utilization component of the Dashboard is used to ensure that all upcoming days have submitted blocks to the OR and that the block is fully utilized.  

Selecting a block will open the scheduler view for that block. Selecting a day will provide an overview of the blocks on the day. An alert will be issued if there are any blocks in the next two weeks that have yet to be submitted to the OR.

Wait List Overview Component

While the other components of the dashboard are focused on specific tasks, the Wait List Overview displays the overall state of the wait list and the provider’s office performance.

The Scheduling Summary provides a summary of cases by booking status:

  1. Cases without a requested surgery date.

  2. Cases with a requested surgery date but not yet submitted to the OR.

  3. Cases with a requested surgery date and submitted to the OR.

  4. All Cases.

Selecting each button displays the Elective Surgery Wait List filtered by the selected criterion. For example, selecting unsubmitted with dates will display cases with a requested surgery date but not yet submitted to the OR.

The Wait 1: Performance provides an overview of current active cases for Wait 1 timing. The red portion of the bar graph are cases that failed to reach target time; the green portion represents cases which progressed to Wait 2 within the target time frame. Note: Only new referrals and re-referrals count toward Wait 1 performance.

The Wait 2: Performance graph provides an overview of cases which are at risk of the Wait 2 target. The graph is colour-coded and represents the following sections:

  1. Red – Cases over target.

  2. Yellow – Cases with less than 21 days to target.

  3. Green – Cases with greater than 21 days to target.

  4. Black – Cases that are currently on hold.

The cases shown on this pie chart can be filtered by any of the booking statuses found in the Scheduling Summary. Selecting any of the portions of the pie-chart will display a filtered view of the list, showing only the cases which belong to the portion selected. Clicking on any section of the pie-chart displays the Elective Surgery Waiting List filtered by the selected criterion.

The Wait 2 Percentage of Cases Completed within Provincial Targets displays the completion percentage of cases within target by month, for the past 10 months.

Clicking the bar for any of the months will provide a further breakdown by priority.

A general summary of Wait 2 is also provided in the form of a calculated Median Wait Time and a Wait Time Trend.

The Median Wait Time can be expanded to provide a breakdown by priority. The Trend compares your performance last month to the preceding 9 months.
