Administrative Reports Overview

Novari ATC comes with many pre-defined real-time reports for users and administrators. If you don’t see the Reports module on your Main page, you have not been given permission to this module. If you need access, contact your site administrator.

Novari ATC Reports are comprised of a predefined report template that is populated with a subset of data drawn from your Novari ATC database, giving you real-time reporting. You can create multiple subsets of data, allowing you to generate reports for some or all your health centers, care venues, services, providers and so on.

The reports provided with Novari ATC are a sampling of what is possible to report on. Novari Health can produce custom reports for clients. Ask your site administrator to contact Novari Health.

This user manual does not cover the user reports. Information about these reports is found in the Novari ATC Reports Module User Guide.

Reports Navigation Menu and Dashboard

When you access the Reports module, you see the Reports Dashboard. All reports you have access to are listed here. If you are not an administrator, you won’t see the Administrative Reports. If the GI Endoscopy DSP Report is not configured, you won’t see it. You may not have Custom Reports.

The reports listed on Reports in the Reports navigation menu correspond to the List Reports, Reports from Case Selection and Case Selection Criteria. Administrative reports can only be accessed from the Reports Dashboard.

Some reports require a Case Selection Criteria that is combined with the report template to generate the report. Please read the Novari ATC Reports Module User Guide for instructions on creating and managing case selection criteria.

Understanding the Select Case Selection Criteria dialog

For any report that requires a CSC, you are presented with the Select Case Selection Criteria dialog. In the dialog you choose the CSC, the output format (sometimes limited to Excel only) and can optionally apply a date criteria. Some reports may have additional output options.

The date criteria narrow the CSC data that are used when generating the report. Select a specific range or a predefined range.

Administrative Reports

Note: you may not have all these Administrative Reports if you do not participate in CJRR or ORBC.

User Access

This on-screen report shows the current usage statistics of total logins, unique logins and the average for the weekday. By default, it shows you today’s usage statistics, but you can choose any start and end date, filter by successful only logins, or see the logins for a specific user code.

For each login, you can see the date, time, the user code, the IP the user logged in from and if the login attempt was successful.

This report does not use a CSC.

This report providers demographic and clinical information for WTIS reportable cases. Most notable is the procedure, the procedure category and the WTIS code that has been assigned to the case and transmitted to WTIS for reporting.

To generate the WTIS Service Detail Assignment by Case report:

  • Choose a case selection criteria.  

  • The only output format is Output to Excel.  

  • Choose an output filter:

    • Active Cases. o Completed Cases.

    • Both Active and Completed Cases.

  • Optionally, apply a date criteria.

  • If you select either Completed Cases or Both Active and Completed Cases, you must apply a date criteria of not more than one year.

  • Select Run.

WTIS Cross Check

This report lets you determine if all WTIS cases have been transmitted.  

  • Select a health center.

  • Select one or more care venues. By default, all care venues are selected for you.

  • Select All or a specific service.

  • Select All or a specific provider.

  • Select the date criteria: 1 week, 2 weeks, 3 weeks, 4 weeks.

  • Click Generate.

The WTIS Cross Check report is displayed on the page. The report can be exported as a CSV file or Microsoft Excel (97-2003) worksheet.

Canadian Joint Replacement Registry (CJRR)

This report is available only if your site participates in the Canadian Joint Replacement Registry. For information about this report, please read Novari ATC CJRR User Guide.

Operating Room Benchmarks Collaborative (ORBC)

This report is available only if your site participates in the Operating Room Benchmarks Collaborative. For information about this report, please read Novari ATC ORBC User Guide.

Post Procedure Data Capture

Some procedures (such as GI ENDO DSP (CIRT)) and CJRR) can only have reporting completed post procedurally. Use this report to review cases (and complete reporting) if your site has enabled post procedure data capture.

  • Select Case Completions or Case Cancellation from Report.

  • Select the health center and care venue.

  • Choose the date period, either for a month or for a date range.

  • Click Generate.

Patient Access

This report displays which users have accessed a patient, or a random list of cases, to see which users have viewed a patient to monitor for any inappropriate use of Novari ATC.

When you search by name, it searches the patient’s first and last name for a match.

You can search by a partial name or by a patient’s MRN.

In the search results, click the patient’s name to view the patient’s case history.

To generate a list of random cases:

  • Select a case selection criteria (report profile).

  • Select a date range. The start date cannot be in the past.

  • Enter the number of cases you want to see.

  • The search results show the number of cases, randomly selected from the total number of cases found for the date range specified.

  • Click the patient’s name to view the patient’s case history.

Wait 2 Audit Compliance by Provider

The Wait 2 Audit Compliance by Provider report displays providers by service and their compliance with Wait 2 audit requirements.  

This report can be useful to review cases by service for each provider to ensure that Wait 2 Audits are being completed in a timely manner. Long waiting cases, that is cases that have been waiting past their expected time based on their priority score, are required to be audited and a reason for the longer wait supplied to WTIS.

Note: This report may have a different name because the Wait 2 Audit can be renamed for your care venues by Novari Health implementation specialists.

This report requires a CSC.

The report can be displayed on the page as HTML output or output to Excel (CSV file).

Wait 2 Audit Compliance Trend

The Wait 2 Audit Compliance Trend report displays the compliance trend over time. The first chart shows the number of patients who need audits versus the number that don’t over time. The second chart shows the audit due versus audit overdue over time.

This report requires a CSC.

If no date criteria are set, it defaults to the last 12 months.

Patient Mailing List – Completed Cases

This report generates a Microsoft Excel worksheet of patients with contact and procedure information whose cases are completed.  

It uses a CSC with the added criterion of completed cases only.

Generate this report, for example, when you want to use the worksheet with a mail merge program to customize a letter, print mailing labels or print addresses on envelopes.

To generate the Patient Mailing List:

  • Select Patient Mailing List – Completed Cases from Administrative Reports on the Reports Dashboard.

  • In the Select Case Selection Criteria, choose a CSC.

  • There is only one output format.

  • Optionally, apply a date criteria.

  • Click Run.

Block Submission

This is the same report that is available to Care Venue users. Use it to monitor the timeliness of block submissions.

To generate the Block Submission Report:

  • Select Block Submission from Administrative Reports on the Reports Dashboard.

  • Select the health center if your site has more than one.

  • Select All or a specific care venue.

  • The start and end dates are automatically filled, the start date with today’s date and the end date with a date two weeks in the future.

  • You can change the start and end dates, but the start date cannot be in the past and the end date cannot be no more than one month in the future from the start date.

  • Choose if you want to see only the Submitted, only the Not Submitted or Both.

  • Optionally, choose to include empty appointments. Including Empty Appointments is for visual display purposes and can indicate that there is still times on the block that can be booked into. The Empty Appointments do not count toward total block utilization.

  • Select Generate to display the report in the dialog.

  • Select Export to Excel to download the report as a .xls file that you can open in Microsoft Excel.

  • Select Reset to reset the report criteria to the default settings.

Procedure Times

This report displays the physician average procedure times that are currently in Novari ATC as a result of the physician average times job. The job can run nightly or as frequently as your site determines.  

The “Procedure Times Report” lets you check what was uploaded to Novari ATC through the job. The values in this report are the exact values sent to Novari ATC based on the mnemonics for the care venue, procedure, and physician, so if a time is incorrect, please consult with the person who has created the file from the OR system.

This report does not use a CSC.

To generate the Procedure Times report:

  • Select a health center if you have more than one.

  • Select All or a specific care venue.

  • Select All or a specific service.

  • Select All or a specific provider.

  • Select All or a specific procedure.

  • Click Generate to see the report on your screen, or Export to Excel to download a Microsoft Excel file.

Phishing Activity

This report aids administrators in searching for user who have been looking for patients without adding them afterwards. This includes a user’s user code, user name and the number of attempts they made (in the specified date range). By default, you see phishing attempts for today, but you can specify a date range and optionally filter the list by entering a user code.

For example, you can look for phishing attempts over a date range. If there have been any, click on the date to see who made phishing attempts on that day. Or you could enter a date range and a user code to see if that specific user had attempted to phish for patient information.
