Canadian Joint Replacement Registry (CJRR)

Introduction

The Canadian Joint Replacement Registry (CJRR) feature in Novari ATC pulls the data required to report to the Canadian Institute for Health Information (CIHI) regarding hips and knees.

CJRR Implementation

Novari Health enables CJRR for your health centers as part of your implementation process per your design decisions. One of the decisions you will have made is if CJRR is required or optional for case completion.

Access

The CJRR functionality is accessible from the following Novari ATC modules and pages:

  • The Provider’s Office module:

    • After adding a patient.

    • From the View Patient page.

  • The Care Venue module:

    • From the block view (clicking on the red “x”).

    • From the Care Venue Data Entry page (clicking on “Reporting Incomplete”).

    • From case completion (clicking on “Supply/Edit”).

    • From the Booking Calendar after case completion by clicking the history icon, and then “Supply/Edit”).

    • From the Post Procedure Data Capture menu entry.

  • The Reports module:

    • Within “Administrative Reports”, select “CJRR Report”.

Provider’s Office Module

When adding or editing a case, select a procedure that is CJRR reportable (CJRR reportable procedures are procedures in the Orthopaedic service which have “Canadian Joint Replacement Registry (CJRR) Reporting Category” filled into a field other than “Not Reportable to CJRR”).  A QuickScreen will appear for you to fill in dropdown fields depending on the anatomy (hip or knee), laterality (left, right, bilateral), and whether the procedure is a joint replacement or revision.  

Care Venue Module

From the block view, the patient view, the case completion page, or the calendar page after case completion has occurred, click on the red “x” that says, “Reporting Incomplete” or “Supply/Edit”.  Different fields will occur based on the anatomy (hip or knee), laterality (left, right, bilateral), and whether the procedure is a joint replacement or revision.  You will need to fill in fields highlighted in yellow.  These include, but are not limited to, product numbers, lot numbers, and manufacturers.  Validation on the page will tell you if you are missing any fields.

Reports Module

The reports module is the most complicated area for CJRR.  Please note that for cases to be returned, they must have case completion completed in the care venue (through interfaces, or manually) first.

Exporting Results

Once the results you want are shown on the page, you can export your results. CIHI will only accept results in the Text format (placed in a zipped file). To review the data internally first, please select “Export to CSV” or “Export to Excel”.  Upon clicking “Export to Text”, you will be asked if you are submitting the information to CIHI.  If you enter “Yes” you will not be able to submit this case again unless you update it and send it this way to CIHI.  You will be able to download this file from the bottom of the screen for up to one year. If you enter “No”, you will have the file download for you still, but the control record (line 1) and name of the file will not be prepared for submission.  

A Reminder when Exporting to Text

When clicking “Export to Text”, make sure carefully read the confirmation message.

ONCE YOU HAVE SELECTED “YES” YOU WILL NOT BE ABLE TO EXPORT THE CASES AGAIN WITHOUT CONTACTING SUPPORT AT NOVARI HEALTH FOR A SERVICE ESTIMATE.

Frequently Asked Questions

Why is the “Export to Text” button disabled?

The Canadian Institute for Health Information (CIHI) has standards for reporting CJRR. Some available fields in Novari ATC will allow you to generate Excel files to review the information, but not export the information to text (how CIHI expects to receive the file). The “Export to Text” button is disabled in the following situations:

  1. You have entered a “Date Range” instead of a “Fiscal Period” in the “Reporting Period” field.

Generating a report by “Date Range” causing the “Export to Text” button to be disabled.

To fix this, change the “Reporting Period” to “Fiscal Period”, select the “Fiscal Year” and “Fiscal Period”, and click the “Generate” button again.

  1. You have selected “Both” for “Include Joint Type”.

Generating a report for “Both” for the “Include Joint Type” field causing the “Export to Text” button to be disabled.

To fix this, change the “Include Joint Type” field to either “Hip” or “Knee”, and click the “Generate” button again.

  1. You have selected “All Cases” as the “Submission Type”.

Generating a report for “All Cases” for the “Submission Type” field causing the “Export to Text” button to be disabled.

To fix this, change the “Submission Type” field to either “New Cases – Not Yet Submitted” or “Cases Requiring Update to CJRR”, and click the “Generate” button again.

There are invalid prosthetics filled in requiring attention before exporting.

To fix this, change the prosthetic information in your hospital system and then run the job from the Administrator Module.

Why aren’t my cases showing in the results?

You may have already exported the case in another file. Check the “CJRR Report History” at the bottom of the page for files with the same search criteria and click “View/Download” to search for your case in the file.

How do I update a case’s prosthetics information?

  1. From the main home screen page of the application, go to the Care Venue module.  

  1. In the Care Venue Booking Calendar, navigate to the month when the case was booked for surgery in the care venue the case was booked at.  

  1. Find the case and click “Supply/Edit”.

  1. Click “Edit” next to either screen listed.

  1. Change the data and click “Submit”.  

  2. Run the report again.
