Sending Inter-module Messages using Novari Secure Messaging

Novari ATC has enhanced its inter-module messaging capabilities with Novari Secure Messaging.

Now, messages that are not explicitly related to a patient’s case can be sent from a person to a person or from a person to a group. This means that a message can be sent from a user of one module, for instance Care Venue, to users of another module, for example Provider’s Office, extraneous to a patient’s case.

For example, the hospital OR booking department uses Novari ATC Care Venue and needs to send a message to provider offices informing them of last-minute OR availability. This message does not pertain to a patient; instead, it is a general message to a provider or group of providers who are using Novari ATC Provider’s Office.

ALTHOUGH MESSAGES ARE SECURE WITHIN NOVARI ATC, PATIENT HEALTH INFORMATION MUST NEVER BE INCLUDED IN THESE MESSAGES BECAUSE NOT ALL RECIPIENTS MAY HAVE ACCESS TO THE PATIENT’S CASE.

Enabling Secure Messaging in Provider Groups – Administrator Module

The Novari ATC site administrator enables Secure Messaging for a health center using groups in the Security module or Identity Management module. (You may have one or the other depending on your Novari ATC instance.)

All senders and recipients of secure messages must have full access to the Secure Messaging application in their group(s).

There are two suggested ways of enabling Secure Messaging within a health center:

  1. You can create a Secure Messaging provider group with only the Secure Messaging application selected and add all the provider groups who need access to it.

  2. You can add the Secure Messaging application to each provider group that needs it.

What you do depends on your site’s needs. Think of the Secure Messaging groups as distribution lists. You may choose to have many narrowcast Secure Messaging groups so you can direct messages to a specific recipient or recipients. Or you may choose to have a few broadcast Secure Messaging groups to reach a large audience.

Also consider future group maintenance. If, for example, you have 200 provider groups, you may want to minimize maintenance by creating a secure messaging group and adding users to it. If you have a few groups, you could add the Secure Messaging application to each.

Using Novari Secure Messaging

  • Select the Secure Messaging module on the Novari ATC splash page to open Novari Secure Messaging.

Select Back to ATC

Signing Out

To sign out of Novari Secure Messaging, select Sign out from your user menu.

This also signs you out from Novari ATC.

Navigation Pane

The navigation pane displays your messages and your contacts.

The navigation pane can be collapsed or expanded by selecting the chevron. Your preference is retained for the next time you sign in.

When the navigation pane is collapsed, hover your mouse pointer over the icon to see the item’s name.

Inbox

Messages are listed in reverse chronological order, with the newest message at the top of the list. By default, all messages are displayed.

You can see only unread messages by selecting Unread from the filter.

You can also filter to display only Read messages.

Sending a Message

There are two ways of sending a message: using New message and selecting the recipient(s) or finding a contact or group and sending a message to that specific recipient.

Contacts

You have individual and group contacts. These contacts are managed by your Novari ATC site administrator. In your Contacts, you see all individuals and groups who have been granted permission to the Secure Messaging module.

To send a message to one or more recipients

  • Select New message

  • Select one or more recipients by selecting them from your list of contacts. You can select one or more individuals and/or one or more groups.

  • Alternatively, start typing a few letters of an individual or group name. The list of contacts will filter as you type.

  • To remove a recipient from the To list, select the x beside the name.

  • Optionally, enter a subject. If you omit a subject, you will be asked to confirm that choice prior to the message being sent.

    • To continue without a subject, select Send.

    • To return to the message without sending to allow you to enter a subject, select Close.

  • Enter the message body. This is mandatory.

  • Optionally, attach one or more a PDF files to the message. You can attach a maximum of 10 attachments. An attachment has a maximum file size of 10 MB.

  • Select Send message.

  • Select Close to discard the message.

Attachments

Your Novari ATC site administrator may have granted you permission to add attachments when sending a new message or replying to a message.

If you have that permission, you can attach a maximum of 10 attachments to a message. An attachment can have a maximum file size of 10 MB.

To send a message by first selecting the recipient

  • Navigate to Individuals or Groups under Contacts

  • Select New message from the More options menu

Read a Message

  • To read a message, select the message subject. The message opens in the message panel.

  • Select Close to close the message panel.

Reply to a Message

  • To reply to a message, open the message by selecting the message subject to open it in the message panel, and then select Reply.

  • You can only reply to the group or contact who sent you the message. In other words, you cannot add or remove a recipient when replying.

  • Enter your message.

  • Optionally, attach one or more a PDF files to the message. You can attach a maximum of 10 attachments. An attachment has a maximum file size of 10 MB.

  • Select Send.

  • If you do not want to reply to the message, select Discard. Your response is discarded, and the message panel remains open.

Delete a Message

  • To delete a message, select one or more messages in your Inbox or Sent items by selecting the check box at the left side of the row

  • Select Delete from the More Options menu.

  • The message is removed from the Inbox and appears under Deleted items.

Sent

  • To see all the messages you have sent or responded to, select Sent in the navigation pane.

  • Sent messages are displayed in reverse chronological order (newest at the top of the list).

  • You can see if a message you sent has been read by the recipient or recipients. If more than one person in the thread has read it, then it will show the count of people who have read it.

Deleted items

  • To see messages you have deleted, select Deleted items in the navigation pane.

  • Deleted messages are displayed in reverse chronological order by message date (newest at the top of the list).

  • You can restore a message by selecting the message and selecting Restore from the More options menu. It is restored to where it was deleted from, either Inbox or Sent.
