Viewing and Managing your Wait List
The Elective Surgical Waiting List, also known as wait list, or simply as your list, is central to effectively and efficiently managing your cases. Your wait list is displayed on the View List page and displays all your cases that are waiting along with critical status information
From the wait list, you can delve into a patient’s detail, send a patient to Pre-Surgical Screening if that module has been configured, assign a surgical date to a patient, and much more.
Your Provider’s Office wait list is your primary working area in Novari ATC.
To view your elective surgical wait list:
• Select List on the Provider’s Office navigation menu, or the View List entry on the List menu.
Wait List Columns
Generally, the wait list has the following columns. Your site may vary depending on its configuration settings.
Column | Description |
Clipboard | The clipboard allows you to select patients for whom actions can be carried out. For example, you could add multiple patients to the Clipboard and then transfer them all to another provider. |
Cancellations | This column displays two statuses: a coloured circle (green when within target, yellow when approaching target or red when exceeding target) indicating target status and the number of case cancellations. Clicking on the circle will display previous cancellations for a case |
Attachments | Hovering over the paperclip displays the number of attachments associated with a case. Clicking on the paper clip navigates to a page for managing attachments. |
Name | This is the patient’s name in the format Last Name, First Name. Hovering over a patient’s name displays their telephone numbers. Clicking on a patient name navigates to the View Patient page. |
MRN | The patient’s hospital identifier. |
Procedure | The procedure or procedures to be performed. |
Target Days (Pri) | The number of days to target based on the priority assigned to the patient’s case. |
Care Venue | The name of the care venue where the procedure will be performed. |
Anesth | A Y or No value indicating whether anesthesiology is required. |
Next Available | This column may or may not be included in your wait list. It is used in conjunction with patient delays to indicate when the patient would be next available for surgery. |
Current Surg Date | The current surgical date that has been assigned to the patient. If a surgical date has been assigned, it is displayed in the column. If not, a calendar icon is displayed and can be used to assign a date. |
Adjusted Days on List | This is a calculation of the length of time a patient has been on the wait list minus any time the patient is unavailable. |
Adjusted Days to Target | This is a calculation of the days to the target date minus any time the patient is unavailable. |
PSS Status | Indicates the patient’s pre-surgical screening readiness. This column only appears when Pre-Surgical Screening has been enabled for your care venue. |
unnamed | Contains the Transfer icon to transfer a patient to another provider. |
Customizing the Wait List
You can temporarily change the way the wait list is presented.
Use Patients per page to change the number of rows displayed on each page.
Click a column heading to sort the list by those values in ascending order. Click the column heading a second time to sort by those values in descending order.
For permanent changes to the way the wait list is presented, go to User Preferences.
If your site is using QuickScreens, you can choose to include a QuickScreen as the right-most column. For example, this is useful for gastroenterology providers who may want to see the primary reason for colonoscopy without the need to open the patient’s case. This is set in User Preferences.
Hover Help
Novari ATC displays additional information when hovering over certain areas in the wait list.
View List Actions
The View List Actions menu on the top left of the View List page are actions that can be applied to the entire list or a subset of the list. Each is explained below.
Filter this List
Use filters to create a temporary, focused view of the wait list.
For example, there is an immediate opening for a procedure, and you want to find patients who are ready and are willing to come in on short notice. To find these patients, use the List Filters to select the procedure, then select Ready from the PSS status dropdown, and Yes from the Attend Short dropdown. This will generate a filtered list of patients who are immediately available for that surgical procedure.
The temporary filter remains in effect until you choose Reset All in the List Filters dialog or log out of Novari ATC.
After you apply the filter, the Current Filter section displays the applied filters.
To open the List Filters dialog, do one of the following:
Select Filter this List from View List Actions.
Select Filter List.
To create a filter:
Select one or more values in a filter criterion.
Note: filter criteria that support multiple selection are identified as such with this help text: (Click and hold CTRL/Command to select multiple procedures (diagnosis categories, values)).
To apply a filter:
Select Apply Filter.
The Filter this Link menu item indicates the list is filtered.
The Filter List link indicates the list is filtered.
To remove one filter:
Select Reset beside the filter criterion.
Select Show All from the filter criterion’s dropdown list.
To remove all filters:
Click Reset All.
To close the List Filters dialogue without making any changes to the filters:
Click Close.
Sort Builder
The Sort Builder allows you to specify a multi-level custom sort based on the columns displayed in the list.
To create a custom sort for the list:
Select Sort Builder from View List Actions.
Select the columns in the order the sort is to be performed.
The list will be sorted first by Field 1, then Field 2 and so on.
Each time you select a column from Field another blank field is added to the dialog.
Specify if the column is to be sorted in Ascending (A-Z, 0 – 9, oldest to newest) or Descending order (ZA, 9-0, newest to oldest).
Select Sort View List.
The Field 1 column, the primary sort, is identified by the chevron in the column heading.
Your custom sort stays in effect until you manually change the sort order by clicking on a column heading or log out. This means you can apply a custom sort and then filter the list or filter the list and then apply a custom sort.
Print this List
Select Print this List to generate a mailing list of the patients on the currently filtered list. This mailing list can be generated in CSV, HTML or PDF format.
The Mailing List excludes any patients who are in a lockbox and any patients who do not have a first and last name assigned to them.
Generate Documents for this List
Choosing this option generates a specific document type for the currently filtered list. These documents are managed in the Document Management option of Documents on the Provider’s Office navigation menu. You are prompted to select the document type you wish to generate for the list. Documents generated in this fashion will only be generated for cases which satisfy the currently selected filter. The documents are added to the patient’s case and can be accessed by selecting Documents in the View Patient page. See Documents section in this manual for more information.
Find a Patient on the List
This option allows you to search for a patient within the currently filtered list. You can search by patient identifier, name, health card number, or phone number. The patient or patients matching the search criterion are displayed. When you select a patient, you are taken to that patient’s record in the list, regardless of which page it is on, and the patient’s entry is identified with red text.
Clipboard Functions
Clipping patients allows the same action to be taken for several patients simultaneously. From the list actions, you can:
Add all currently filtered patients to the clipboard.
Remove all currently filtered patients from the clipboard.
Transfer all patients on the clipboard to another provider or pool.
Generate a QuickStats Report
QuickStats is designed to generate a broad analysis of the currently filtered list. It displays:
An analysis of the different priority levels. Each priority level will display its current number of cases as well as how that relates to the number of total cases, the average monthly throughput over the past year and the clearance time.
Statistics by Care Venue. Namely, the total number of hours and the average number of hours for the currently filtered procedures. It will also compare the total number of hours between care venues.
The top 10 primary procedures by number of patients waiting.
Remember that all the calculations above are done in terms of the currently filtered list.
Select Providers
Whenever you are managing the list of multiple providers at the same time, you can select this option from View List Actions to filter your list to a smaller group of those providers.
Change Target Type
Your Novari ATC administrator may configure different target types for your health center, your LHIN (Ontario) or province. Generally, the provincial targets are used, but your site may have different targets at the health center or LHIN levels. Change Target Type allows you to view your wait list with a different set of target types.
UNLESS OTHERWISE INSTRUCTED, THIS SHOULD BE SET TO PROVINCIAL.
To change the target type:
Select Change Target Type.
Select the target type level.
Click Update.
Show Days to Target at % / Show % to Target as Days
You can toggle between adjusted days to target and adjusted % to target. The setting remains in effect until you change it or log out. Go to User Preferences to make your preference permanent.
Locate a Patient on the List (Patient Search)
You can search for patients on the wait list by name, MRN, Health Card Number or by phone number. The option that is selected by default can be selected through the Default Patient Search Field, located in User Preferences.
To search for a patient:
Select Patient Search from List on the Provider’s Office navigation menu.
Preparing to search for a patient by MRN
When searching by name, there is the option to limit the search results to patients whose name begins with the search term. This will exclude patients whose first name matches the last name being searched. Once the search has completed, the page lists all patients matching the search criteria. For active cases, clicking on the patient’s name navigates to the View Patient page for a detailed view of the case.
Searching for the last name ‘Ash’ and excluding anyone who might have the same first name or contain ‘Ash’ in the middle of their last name.
There are two differences between Patient Search and Find a Patient on the List.
Patient Search searches for all patients on the wait list, whereas Find a Patient on the List only searches the currently filtered list.
When you select a patient in the Patient Search results, you are taken to the patient’s detail (View Patient), whereas when you select a patient in the Find a Patient on the List results, you are taken to that patient’s record in the list.
